Detailed Job Description
General Summary: Provide direct accounting and finance support to Payroll & Accounts Payable Services (PAPS) responsible for processing university bi-weekly and semi-monthly payrolls; supplier payments including employee reimbursements and student refunds; and, payroll tax reporting. Perform a wide range of complex accounting and financial reporting tasks supporting PAPS including preparation of standard and ad hoc internal and external financial reports and analyze information used by management for decision-making and/or to comply with regulatory requirements. Assist with year-end W-2 and 1099 reporting and coordinate successful completion of the PAPS Management Self-Assessment (MSA) process. Provide excellent service to faculty and staff who are involved in the day-to-day administration of sponsored projects.
Create/assist with the development of new, and modifications to existing, reports utilizing available report writing tools; ensure integrity of ad hoc general ledger reports for management and PAPS departmental use; and, create dashboards designed to track key performance metrics.
Perform a variety of accounting tasks to support the bi-weekly and semi-monthly payroll processes and to ensure the accuracy of year-end reporting. Validate accounts payable supplier set-up to ensure correct coding for taxability resulting in accurate IRS Form 1099 annual reporting. Assist with annual Form W-2 and 1099 preparation.
Prepare monthly reconciliation of post-retirement benefit liability account, including confirmation of monthly standard monthly liability estimate and payments made to the third party provider, to ensure accuracy prior to submission to external actuaries for determination of the fiscal year-end liability.
Reconcile travel prepaid airfare account to ensure that transactions are expensed to the appropriate department/project timely. Work with travelers to research and resolve issues and prepare correcting entries as required.
Prepare ADP tax funding for bi-weekly and semi-monthly payroll working closely with the PAPS Tax Administrator ensuring timely and accurate tax deposits.
Verify payroll and accounts payable bank account reconciliations monthly. Initiate corrective action including preparation of journal entries as required.
To ensure a strong internal control environment and identify potential control weaknesses, coordinate the timely completion of the annual MSA including development of testing plans. Work with management to resolve issues.
Develop and maintain robust documentation for PAPS processes and procedures.
Act as a back-up for payables disbursements.
Complete special projects and analyses as requested by management.
Participate in a minimum of 40 hours of training/professional development annually (or a pro rata amount based on standard working hours) applicable to the employee's current role.
Required Minimum Qualifications
BS in Accounting or Finance; five to six years related accounting and financial analysis experience, or an equivalent combination of education and applicable experience required. Enterprise wide financial applications experience, advanced knowledge of Excel and Access, and intermediate knowledge of all other MS Office products required.
Skills: Must provide excellent customer service and professionally interact with individuals at all levels of the organization. Must be a self-starter having demonstrated quality results in a similar work setting, including trouble-shooting issues and formulating and implementing solutions. Exceptional interpersonal and diplomacy skills required with excellent verbal and written communication skills. Must be able to multi-task, possess excellent time management and deliver quality results within the required timeline. Must be detail-oriented and have the ability to work independently and exercise professional judgement in the execution of all job responsibilities.
Preferred: CPA or MBA; specific higher education and/or not-for-profit expertise and knowledge of payroll and payables processes and related accounting practices and procedure. Knowledge of lean principles including evidence of successful application to achieve process improvement.
