Position Summary: The Executive Assistant, Deans Office will serve as the key point person in supporting the Dean of RIETS in all matters pertaining to his responsibilities, including serving as a liaison for the Dean to the university, managing all aspects of the his daily and travel schedules, researching and developing presentations and overseeing communications. The Assistant will also play a key role in coordinating RIETS events. The Assistant to the Dean will have access to confidential information and is expected to treat all information with its due respect.
Answer telephone and maintain telephone log of all calls to the Dean
Greet visitors to the Deans Office
Provide administrative support to faculty members
Respond to RIETS staff and student needs and inquiries in a friendly and timely manner
Maintain the schedule and appointments of the Dean
Keep the Dean on schedule and aware of upcoming meetings and lectures - and the needs for those appointments
Keep track of materials needed for each meeting and appointment.
Attention to those coming to meet with the Dean, including, parking, reception, refreshments, etc.
Travel arrangements for the dean and reimbursements
Coordinate monthly faculty and staff meetings and assist in creating the agenda and taking minutes at those meetings
Serve as communications officer and prime point of contact for all matters relating to the Dean
Maintain the files and related database for faculty and deans correspondence
Assist the Dean in developing and maintaining contact with the alumni of RIETS
Serve as liaison between RIETS and CPA to keep the latter informed of all matters to be publicized
Events and Projects
Organize small events for dean - educational, fundraising, and the like
Coordinate logistics for RIETS events, including room reservations, food orders and transportation requests
Research, edit and proofread written documents and publication
Prepare source materials for lectures
Provide administrative assistance to other departments with large mailings, commencement guest tickets, RSVPs for events
Assist with miscellaneous tasks as needed
Work on key projects for the Dean, Associate Deans, and Operations Manager
