The Rockefeller University seeks an Academic Events Planner to join Academic Affairs. Working as part of the team responsible for Academic Events and Initiatives, the Academic Events Planner will be responsible for the planning and coordination of three main program areas including: the academic lecture series; scientific symposia; and off-campus scientific retreats. Will provide support to the Program Director for the administration of the University's faculty recruitment initiatives. The Academic Events Planner will plan and coordinate the University's Friday Lecture Series as well as the faculty Monday Lecture Series and Faculty Candidate lectures/symposia. Will manage approximately 40-50 seminars annually, organize off-campus, scientific retreats (three-four annually), and campus scientific symposia (three-four annually). Will communicate with invited lecturers, coordinate visit schedules and seminars, arrange ground transportation and guest rooms, and other visit related matters, make electronic calendar entries, campus room reservations, prepare flyers and posters, and work with the University's Communications and Public Affairs office to ensure that seminars are properly advertised to campus and calendar entries are accurate. Will process all reimbursements, manage registration, coordinate arrangements with venues, caterers, and transportation companies, and respond to participant inquiries, prepare the retreat/symposium schedules, coordinate talks, poster sessions, audio-visual, receptions, meals, and guest rooms, and assist with the creation of print and web materials, including programs, posters, etc. Will support faculty recruitment initiatives by processing applications for faculty positions, responding to applicant and referee inquiries, coordinating visit schedules and seminars/symposia for candidates, advertising events, preparing committee meeting materials, preparing large mailings, and performing other coordination duties as requested. Will be responsible for some general office duties including filing, copying, ordering office supplies, and general accounting duties including processing vendor payments, petty cash reimbursements, and monthly account reconciliations.
Bachelor's degree and a minimum of 5 years of related experience in events planning and/or meeting planning required; experience in an academic setting preferred. Proficiency with Word and Excel necessary; knowledge of Adobe Creative Suite and HTML a plus. Must be available to work occasional evening and weekend events as necessary. Must be detail-oriented, able to multi-task while meeting overlapping deadlines, and have excellent writing, grammar, and proofreading skills. The ability to establish relationships with various campus departments (CPA, Information Technology, Catering, Custodial, and Security) to ensure the smooth implementation of all seminars, retreats, and symposiums, as well as the ability to communicate effectively with Heads of Laboratory, Senior Administration, and campus visitors/speakers is a must.
